Shift Swap

Swap your shift for a colleague's — both sides give and take.

Wiki > Employee Features > Shift Swap

What is a shift swap?

In a shift swap, two employees give up shifts to each other — A gets B's shift, B gets A's shift. Hours stay roughly equal for both, unlike a pure handover.

Requesting a swap (as an employee)

1

Open your shift, choose "Shift swap"

You pick the shift you'd like to off-load.

2

Offer one or more shifts

Pick shifts you'd take in exchange. More options increase the chance of acceptance — the recipient picks one.

3

Send request

The recipient gets a push: "<name> wants to take your shift — and offered you the following shift you can take in exchange."

Offering multiple options

If you offer multiple shifts, the recipient can swipe left/right to pick their preferred one — or accept any of them.

Reacting to a swap request

When you receive a swap request, you have three options:

ActionWhat happens
AcceptThe swap goes through (with admin approval if configured). Both sides get a confirmation: "Shift swap accepted."
DeclineRequest is closed. Requester gets: "The shift swap request was declined."
IgnoreRequest stays open until withdrawn or closed.

Admin approval

Depending on your settings there are two modes:

With admin approval

The swap is only effective after admin confirmation. Benefit: admin verifies all conditions match.

Auto-approved

If qualifications, departments and rest time match, the swap is effective immediately — admin sees it as info only.

Swap by admin

Admins can also initiate a swap between two employees — e.g. when employees agreed verbally and only need it reflected in the system. Same flow as employee view: pick shifts, trigger swap, both sides are notified.

When a swap becomes invalid

Sometimes a swap request resolves itself — e.g.:

  • Shift no longer exists: One of the shifts was deleted or picked up by someone else. Hint: "This request is invalid because the shift no longer exists or another employee has taken it."
  • Offered shift no longer available: The requester has handed over the offered shift in the meantime. Hint: "This request is invalid because the requester's offered shifts are no longer available to them."
  • Withdrawn: Requester withdrew the swap. Recipient sees: "Your shift swap request was withdrawn."
