Swap your shift for a colleague's — both sides give and take.
In a shift swap, two employees give up shifts to each other — A gets B's shift, B gets A's shift. Hours stay roughly equal for both, unlike a pure handover.
You pick the shift you'd like to off-load.
Pick shifts you'd take in exchange. More options increase the chance of acceptance — the recipient picks one.
The recipient gets a push: "<name> wants to take your shift — and offered you the following shift you can take in exchange."
If you offer multiple shifts, the recipient can swipe left/right to pick their preferred one — or accept any of them.
When you receive a swap request, you have three options:
| Action | What happens |
|---|---|
| Accept | The swap goes through (with admin approval if configured). Both sides get a confirmation: "Shift swap accepted." |
| Decline | Request is closed. Requester gets: "The shift swap request was declined." |
| Ignore | Request stays open until withdrawn or closed. |
Depending on your settings there are two modes:
The swap is only effective after admin confirmation. Benefit: admin verifies all conditions match.
If qualifications, departments and rest time match, the swap is effective immediately — admin sees it as info only.
Admins can also initiate a swap between two employees — e.g. when employees agreed verbally and only need it reflected in the system. Same flow as employee view: pick shifts, trigger swap, both sides are notified.
Sometimes a swap request resolves itself — e.g.:
| Situation | Recommendation |
|---|---|
| You need this day off, can cover another in return | Shift swap |
| You're sick or unavailable, can't give anything back | Shift handover or Sick Leave |
| You want to off-load a whole series | Shift handover (series) |
| You have someone specific willing to cover | Request the swap directly with that person |
